Terms of Service

These Terms of Service ("Terms") govern access to and use of Rental AutoPilot websites, CMS tools, guest messaging, automation workflows, integrations, reporting, and related services provided by PT Rental AutoPilot ("Rental AutoPilot", "we", "us", or "our").

1. Acceptance
By creating an account, accessing the CMS, using a connected service, approving an invoice or order, paying for a plan, or otherwise using Rental AutoPilot, you accept these Terms. If you use Rental AutoPilot on behalf of a company or property management business, you confirm that you have authority to bind that organization.
2. Business use
Rental AutoPilot is provided for business and property operations use. It is not intended for personal, household, or consumer use. You are responsible for all activity by users, staff, contractors, owners, or other authorized people who access your account.
3. Service scope
Rental AutoPilot provides software and operational tools for villa and property management. Depending on your plan and configuration, the service may include:
- Reservation, guest, property, owner, staff, task, finance, and reporting workflows.
- Guest messaging, WhatsApp and other communication tools, templates, translations, and automation support.
- Integrations with PMS/channel managers, accounting platforms, smart locks, utilities, payment tools, email, storage, analytics, and other third-party systems.
- Admin, staff, owner, and role-based CMS access.
Specific features, limits, support levels, and fees may be set out in your subscription, invoice, order form, written agreement, or CMS settings.
4. Accounts and authorized users
- You must provide accurate account, billing, property, and operational information.
- You are responsible for keeping login credentials, API keys, provider tokens, lock credentials, and connected accounts secure.
- You must promptly remove access for users who no longer need it.
- Actions taken through your account are treated as authorized unless you notify us of unauthorized access and we confirm otherwise.
5. Client data and responsibilities
You retain ownership of your operational data. You are responsible for the accuracy, legality, and authorization of the data you submit or connect to Rental AutoPilot, including guest, owner, staff, property, reservation, message, finance, lock, and utility data.
You are responsible for giving required notices and obtaining required permissions or consent from guests, owners, staff, contractors, and message recipients where applicable.
6. Messaging, WhatsApp, and automations
If you use messaging or WhatsApp-related features, you are responsible for the content you send, the recipients you contact, and compliance with applicable messaging, anti-spam, privacy, platform, and provider rules. You must not use Rental AutoPilot to send spam, unlawful content, misleading messages, abusive content, or messages without appropriate authorization.
Automated messages, translated copies, AI-assisted drafts, scheduled replies, templates, and operational alerts should be reviewed and configured by you. Rental AutoPilot does not guarantee that translations, AI output, provider delivery status, or third-party messaging sessions will always be accurate, complete, or available.
7. Third-party integrations
Many features depend on third-party platforms such as PMS/channel managers, OTAs, WhatsApp or messaging providers, accounting systems, payment processors, smart locks, utility providers, hosting providers, translation services, and analytics tools. These services are not controlled by Rental AutoPilot. Their availability, rules, pricing, account restrictions, delivery delays, API changes, outages, and data handling practices may affect the service.
You authorize Rental AutoPilot to use credentials, tokens, webhooks, and API access that you provide or approve in order to operate the configured integrations.
8. Fees, billing, and taxes
Fees are based on the plan, invoice, order form, subscription, or written agreement applicable to your account. Unless otherwise agreed in writing, fees are payable in advance or when invoiced, and access may be suspended for unpaid amounts. Taxes, bank fees, payment processor charges, currency conversion costs, and provider pass-through costs may be charged separately where applicable.
9. Refunds and credits
Fees are non-refundable except where required by law or expressly agreed in writing. Service credits, refunds, or billing adjustments may be considered only where Rental AutoPilot confirms that a material service failure was caused by Rental AutoPilot and was not caused by your account, provider outage, third-party system, misuse, configuration, network, device, or force majeure event.
10. Support and availability
We aim to keep the service reliable, but Rental AutoPilot is provided on an "as available" basis unless a separate written service level agreement applies. We may perform maintenance, updates, security work, migrations, provider changes, or emergency fixes that affect availability or functionality.
11. Acceptable use
You must not:
- Use Rental AutoPilot for unlawful, deceptive, abusive, harassing, infringing, or spam-related activity.
- Attempt to bypass security, access another account, scrape data, overload systems, or interfere with service reliability.
- Reverse engineer, copy, resell, sublicense, or provide access to Rental AutoPilot except as allowed by your agreement.
- Upload malware, exploit code, unauthorized personal data, or content you do not have the right to use.
- Use integrations in a way that violates third-party platform rules or applicable law.
12. Suspension and termination
We may suspend or terminate access if you breach these Terms, fail to pay, create security or legal risk, misuse the service, violate provider rules, or use the service in a way that may harm Rental AutoPilot, other clients, guests, providers, or the public. You may stop using the service at any time, but unpaid fees remain due.
13. Intellectual property
Rental AutoPilot and its software, interfaces, workflows, documentation, designs, code, trademarks, and service materials remain the property of Rental AutoPilot or its licensors. Subject to these Terms and payment of applicable fees, you receive a limited, non-exclusive, non-transferable right to use the service for your internal business operations.
14. Confidentiality
Each party may receive non-public business, technical, financial, operational, or customer information from the other party. Each party must use reasonable care to protect confidential information and use it only for the purposes of providing or receiving the service, unless disclosure is required by law or authorized by the disclosing party.
15. Privacy and data processing
Our handling of personal data is described in our Privacy Policy. Where Rental AutoPilot processes personal data on behalf of a client, the client remains responsible for determining whether it needs additional data processing terms, guest notices, staff notices, owner notices, consents, or provider agreements.
16. Disclaimers
To the maximum extent permitted by law, Rental AutoPilot is provided without warranties of uninterrupted operation, error-free performance, guaranteed delivery of messages, guaranteed third-party provider availability, guaranteed translation accuracy, or guaranteed business outcomes. You are responsible for reviewing important operational actions, including guest communication, lock access, payments, invoices, and task instructions.
17. Limitation of liability
To the maximum extent permitted by law, Rental AutoPilot is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost bookings, loss of goodwill, provider outages, third-party account restrictions, or loss of data. Unless a separate written agreement states otherwise, Rental AutoPilot's aggregate liability is limited to the fees paid by you for the affected service during the three months before the event giving rise to the claim.
18. Changes to the service or terms
We may update the service, add or remove features, change interfaces, adjust provider integrations, or modify these Terms. If changes are material, we will take reasonable steps to notify affected users through the website, CMS, email, invoice, or other account communication. Continued use after an update means you accept the updated Terms.
19. Governing law and disputes
Unless a separate written agreement states otherwise, these Terms are governed by the laws of the Republic of Indonesia. The parties should first try to resolve disputes through good-faith discussion. If a dispute cannot be resolved, it may be submitted to the competent courts in Indonesia.
20. Notices and contact
Legal, billing, support, and service notices may be sent by email, shown in the CMS, included in invoices, or posted on the website. You are responsible for keeping account and billing contact details current.
