Booking connections

iCal vs API connections for short-term rentals: what changes?

iCal shares calendar events so another booking site can block dates when it next imports the feed. An API connection can exchange richer booking and channel data, such as rates and messages, where supported. The practical difference is both the information exchanged and how updates reach each system.

The differences at a glance

QuestioniCal calendar feedAPI connection
What moves?Calendar events and blocked dates; event details vary.Supported fields may include availability, rates, restrictions, reservations, and messages.
When? When the receiving platform polls the feed.Through provider updates, webhooks, or polling; timing varies.
Two directions?Usually two separate imports, one for each direction.Depends on the provider, channel, field, and selected sync mode.
Best starting useSimple date blocking where richer connectivity is unavailable.Coordinated distribution and workflows needing detailed reservation data.

Neither connection replaces a clear booking authority. Decide where staff should change availability and prices before connecting systems. Otherwise, a technically successful update can still overwrite the wrong operational decision.

What iCal actually does

An iCal connection normally starts with an exported .ics calendar URL. You paste that URL into the receiving platform. That platform periodically reads the events and uses them to mark dates unavailable. To share dates back, you normally configure the reverse import separately.

For short-term rental channel connections, do not expect iCal to distribute nightly prices, minimum-stay rules, payment information, or guest conversations. Some feeds contain a reservation reference or limited event text, but that is not a complete booking record. Beds24's Airbnb connection documentation, for example, distinguishes its limited iCal booking data from the richer API connection.

Treat calendar URLs as sensitive links. Share them only with the services and people who need them, especially if event descriptions expose booking information.

Why calendar refresh delays matter

Airbnb says it automatically imports connected calendars every three hours. Other sites control their own import schedules. That figure describes Airbnb reading an external calendar; it does not mean every platform receiving an Airbnb export updates at the same interval.

Consider a villa booked through your direct website at 10:05. If Airbnb has not imported the updated feed, those nights may still appear available there. A second guest can potentially book during that gap. A manual refresh can help check an update, but Airbnb limits how frequently you can request it.

Also check what a block represents. Airbnb warns that preparation time or advance-notice blocks from another calendar may not be reflected. Test owner stays, maintenance blocks, and buffer nights separately from confirmed reservations.

What an API can add, and what to verify

An API gives software a structured way to exchange information and request changes. A channel connection might import guest details and cancellations, send rates, and support messages. That richer context can help downstream teams prepare arrivals, answer questions, and react to booking changes.

Coverage is specific. Beds24 documents Airbnb API support for prices, availability, reservation modifications, cancellations, and guest messaging. This does not establish that another provider exchanges the same fields, or that every field works in both directions. Ask for a channel-by-channel capability list and the relevant account requirements.

“API” also does not promise instant delivery or zero overbookings. Mapping errors, expired authorization, upstream outages, and processing queues still matter. Evaluate visible connection errors, retry handling, and a way to reconcile the live channel calendar against your booking system.

Choose around the work you need to automate

iCal can be a reasonable option for a simple calendar connection when the destination offers no supported API integration. Keep an explicit process for checking conflicts, especially when accepting short-notice bookings on several channels.

Prioritize a supported API connection when staff need centrally managed prices, booking amendments, or reservation-linked messages. If a cleaner needs only an occupancy calendar, a limited calendar view may be sufficient; if a concierge needs arrival time and guest requests, blocked dates alone are insufficient.

A PMS and a channel manager describe software responsibilities, while iCal and API describe connection methods. One product can perform both PMS and channel-manager functions using different methods for different channels. Our PMS and channel manager guide explains that distinction.

A practical connection and migration checklist

  1. Inventory every connection. Record listings, room mappings, import directions, existing feeds, and who owns each channel account.
  2. Choose the source for each field. Confirm where prices, availability, restrictions, and manual blocks will be maintained.
  3. Check exceptions before switching. Reconcile future reservations, owner stays, maintenance, buffer nights, and grouped inventory.
  4. Use the provider's migration instructions. Avoid running duplicate iCal and API booking imports for the same inventory unless the provider explicitly supports that arrangement.
  5. Test the complete lifecycle. Check a new reservation, amendment, cancellation, manual block, rate update, and message where supported.
  6. Inspect both ends. Verify the actual channel display and the imported booking; retain a named person to handle exceptions.

Connect booking data to the stay itself

A reliable channel connection is the start of automation. An amended arrival date should also lead your team to check cleaning schedules, arrival instructions, and access validity. Record which system owns each action so two tools do not send competing messages.

Rental AutoPilot connects supported PMS data from Beds24, Guesty, and Hostaway to guest communication and villa operations. The available information depends on the configured provider connection. Start with the Airbnb automation guide to map the booking-to-checkout workflow before enabling additional automations.

Common questions

Does iCal sync Airbnb prices or guest messages?

No. An iCal calendar connection is for calendar events and date blocking, with limited event information depending on the feed. Use a supported channel integration for prices or guest messaging.

Is an API connection always real time?

No. Update timing depends on the provider, channel, field, and delivery method. Confirm expected timing, monitor failures, and check both systems after important changes.

Can I use iCal and API for the same listing?

Follow the provider’s instructions. Duplicate imports can cause conflicts or duplicate records; Beds24 specifically advises against using both for the same room.
